Use short prompts, plain language and a manageable number of options. Put frequently selected choices early and avoid unnecessary levels.
Explain how to repeat the menu, return to a previous step or reach a person where appropriate. Plan what happens after invalid or missing input.
Use time-based routing for closed periods, holidays and busy teams. Voicemail, alternative destinations and missed-call alerts should form part of the journey.
API and CRM integrations can personalise routing or retrieve information, but requests should remain proportionate, secure and easy for callers to understand.
Test every route from a caller’s perspective, monitor abandoned calls and revise prompts when business processes or customer behaviour change.
