Start with what callers need to do
Choose a number for a real customer contact need: making a booking, requesting a quote or reaching support. Decide whether a geographical number or a UK-wide 03 contact better matches the business. Adding numbers for every town is not automatically useful if customers all need the same service and the business cannot explain the difference.

Separate the caller’s bill from your service bill
People calling a geographical 01 or 02 number pay according to their own provider and tariff, including any applicable allowance. Your costs for receiving and handling those calls are separate. A low advertised rental does not tell you the total cost if forwarding, additional users or optional features are charged separately.
Ask for a quote you can compare
Request the setup charge, recurring rental, minimum term, any memorable-number premium, included minutes, forwarding rates and billing increments. Confirm whether prices include VAT and whether there are charges for additional users, menus, recordings or reports. Ask what happens when an allowance is exceeded and how you can monitor usage.
Choose between forwarding and a team phone system
Simple forwarding may suit a number that needs to ring one existing destination. A cloud phone system may be more useful when several people need extensions, shared answering or transfers. Ask what equipment or applications you need, what happens during an internet outage and which functions are included in the proposed service.

Plan busy, unanswered and closed conditions
Agree the first destination, how long it rings and what happens if it is busy or unanswered. Decide what callers hear outside opening hours and who checks messages. If an on-call option is needed, confirm when it is staffed and the final fallback. Test these conditions separately before advertising a new number.

Ask for the full number or a confirmed choice of available numbers. If replacing an existing service, check portability and any linked broadband or telephone services. Before signing, understand how a future transfer away would work, including notice periods and any applicable charges.

Be clear about privacy and reporting
If you need call recording, agree the purpose, access controls, retention and caller information before enabling it. For reports, ask which measures are actually available and how long they are retained. Do not assume every panel includes the same statistics or that a marketing description is a complete feature specification.

Send your preferred town or code, whether you are keeping a number, the destinations or team size, opening hours and a realistic estimate of call volume.
